How to Export Estate Sale Inventory to eBay as Draft Listings

Turn your estate sale catalog into eBay draft listings with categories, item specifics, photos, and prices filled in. You check and publish in Seller Hub.

Updated October 22, 2026

At a glance

  • Download your priced items as eBay draft listings, ready for Seller Hub's bulk upload.
  • Each item gets a category from eBay's own catalog, plus up to 12 photos, price, and condition.
  • Turn on AI pre-fill to have item specifics and missing descriptions filled in for you.
  • You have the final say: check every draft on eBay before it goes live.
  • Location, shipping, and return policies stay in your eBay account, where you already manage them.

Step by step

  1. 01

    Set up your eBay account

Bulk uploads use your eBay account's item location, shipping policy, and return policy. Make sure those are set in eBay before you upload.

  2. 02

    Export from EstateFlow

Open the estate, click Export inventory, and choose eBay. Export the whole estate or a single room, and turn on AI pre-fill if you want item details filled in for you.

  3. 03

    Review and download

EstateFlow matches each item to an eBay category and shows what was filled in and what eBay will still ask for. Pick a default condition, then download the file.

  4. 04

    Upload to Seller Hub

In Seller Hub, go to Reports, then Uploads. Choose Create new drafts and upload the file. Your items land in Listings, then Drafts.

  5. 05

    Finish and publish

Open each draft, confirm the category and item specifics, add anything eBay still needs, and publish.

Why send pieces to eBay

Some pieces sell for more to a national buyer than to whoever walks in on Saturday: a camera, a signed print, a box of vintage tools. eBay finds that buyer. The cost has always been the listing work, since every item needs a category, a title, photos, a description, and a long list of item specifics.

You already photographed, described, and priced everything in EstateFlow. The export turns it into eBay drafts that are most of the way done, so your time goes into checking listings instead of building them.

What EstateFlow fills in

  • Category: eBay's own top category suggestion for each item, based on its title.
  • Title, price, and quantity: from your catalog, with titles kept within eBay's 80-character limit.
  • Photos: up to 12 per item, the main photo plus the extra angles you took in the mobile app.
  • Condition: pick Used, New, or For parts or not working, and EstateFlow maps it to the matching condition each category allows.
  • Description: your own description from EstateFlow. If an item doesn't have one, AI pre-fill writes one, or the draft falls back to the title and filled-in details.

AI pre-fill

Every eBay category has its own item specifics, like brand, type, color, material, and style. Filling those in by hand is the slowest part of listing. Turn on AI pre-fill and EstateFlow reads each item's photo and description and fills in as many as it can, including estimated size and weight.

These are educated guesses, and the review screen marks estimates so you know which ones to check. EstateFlow doesn't weigh or measure anything, so check size and weight before you publish. They decide what the buyer pays for shipping. Pre-fill is off until you turn it on, and EstateFlow remembers your choice.

What you finish on eBay

Three columns: eBay account settings set once (item location, shipping and return policies), what EstateFlow fills in on every export, and what you finish on each draft before publishing
EstateFlow fills in the draft. You have the final say on eBay.

The drafts are most of the way done, and the last mile is yours. That's by design: you know the piece, and eBay is where the listing lives.

  • Confirm the category, or change it on eBay if a better one fits.
  • Check the item specifics, and add any eBay still asks for. The review screen lists them per item under "Add on eBay".
  • Check size and weight against the real item.
  • Publish when it looks right.

eBay asking for a few more details on a draft is normal. It doesn't mean the export went wrong.

Before you upload: your eBay account

eBay's bulk upload relies on settings in your eBay account: where items ship from, your shipping policy, and your return policy. These stay in eBay, where you already manage them, so EstateFlow doesn't ask for them. If you sell on eBay today they're likely set already. If not, set them up in your eBay account before you upload.

Good to know

Four steps: export from EstateFlow, upload in Seller Hub under Reports then Uploads with Create new drafts, finish each draft under Listings then Drafts, and publish
Upload with Create new drafts, not Autofill listing details.
  • Upload with Create new drafts in Seller Hub, not Autofill listing details, which ignores your price and condition.
  • eBay requires at least one photo, so items without a photo are skipped.
  • If eBay can't find a category from an item's title, it's left out. Give it a clearer title and export again.
  • eBay allows up to 2,000 new drafts a day, so one file covers up to 2,000 items.
  • This is a file you export and upload. No eBay account connection is needed.

Frequently asked questions

Do listings go live when I upload?

No. They upload as drafts in Seller Hub. Nothing is listed until you open each draft and publish it.

How accurate is AI pre-fill?

It's a strong starting point, not a final answer. AI reads each item's photo and description to fill in item specifics and estimate size and weight. Check every detail on eBay before publishing, especially size and weight.

Why does eBay still ask for details after upload?

Some categories require item specifics that can't be read from a photo or description. The review screen lists them per item, so you know what to add before you upload.

Do I need shipping and return policies set up?

Yes. Bulk uploads use the item location, shipping policy, and return policy in your eBay account. Set them in eBay before you upload.

Can I change the category EstateFlow picked?

Yes. Change it on the draft in eBay before you publish.
