At a glance
- Download a Clover-ready inventory workbook with name, price, SKU, room, and category for each item.
- Import it in your Clover Dashboard, and every item rings up at its catalog price.
- Clover needs unique item names, so duplicates get their SKU added automatically.
- After the sale, import Clover's line items report to match each sale back to inventory.
- Item fees are carried through, ready for your client settlement.
Step by step
- 01
Export from EstateFlow
Open the estate, click Export inventory, and choose Clover. Export the whole estate or just certain rooms.
- 02
Import into Clover
In your Clover Dashboard, go to Items, open Options, and choose Import. Upload the workbook and items come in with name, price, SKU, and category.
- 03
Ring up at the sale
Ring up items on your Clover device as usual, each at its catalog price. For anything you didn't catalog, use the MISC open-price item.
- 04
Pull your line items report
After the sale, go to Reporting in your Clover Dashboard, open Line items, and export the CSV.
- 05
Import sales and settle
Upload the line items CSV to the estate in EstateFlow. Sales match to inventory by SKU, fees come along per item, and anything unmatched is flagged for review.
Why get your inventory into Clover before the sale
Most estate sales run checkout on open-price keying. Someone reads the tag, types a number, and hopes it's right. It works until the line backs up, a $40 tag gets rung in as $4, or you're left trying to work out after the sale what actually sold.
When every item is already in Clover with its own SKU and price, the price comes from your catalog, not from whoever is on the register. And every sale carries the SKU, so it can be matched back to the exact item in EstateFlow.
What's in the export
EstateFlow builds an Excel workbook laid out the way Clover's inventory import expects, with Items, Modifier Groups, Categories, and Tax Rates sheets. Each item gets:
- Name, fixed price, and a quantity of 1
- Your EstateFlow SKU in both the SKU and Product Code fields
- The item's room as its alternate name, so staff can find it
- Its category, with items grouped on the Categories sheet
Estates are full of repeats like "Dinner Plate" or "Assorted Costume Jewelry". Clover requires every item name to be unique, so EstateFlow adds the SKU to the name of every item in a duplicate group. You don't rename anything, and the shelf labels read consistently.
The workbook also includes a MISC open-price item as its first row. Use it for anything you didn't catalog, like the box of loose hardware someone wants for $5, and your catalog stays clean.
After the sale: import sales back
When the doors close, go to Reporting in your Clover Dashboard, open Line items, and export the CSV. Drop it into the estate in EstateFlow.
- Each sale line is matched to inventory by SKU first, then by name.
- Anything that doesn't match is flagged for review instead of guessed.
- Refunded and unpaid lines are left out, so only real sales count.
- Item fees come along when Clover includes them, and the location and device for each sale are kept so multiple registers stay sorted.
From there, settlement uses what actually sold: commission, fees and the client payout. It doesn't depend on tags or memory.
Good to know
- The workbook doesn't include photos. Clover doesn't need them to ring up a sale.
- This is a file you export and import. No Clover account connection is needed.
- Items use your Clover account's default tax rate.
- Sales import and settlement are included with Pro and during the free trial.
