How to Export Estate Sale Inventory to Square

Export your estate sale catalog to Square in the format Square imports. Every item rings up with its SKU and price, and sales match back for settlement.

Updated October 19, 2026

At a glance

  • Download a Square-ready catalog file with name, SKU, price, category and stock for each item.
  • Import it in Square, and every item rings up at checkout with no open-price keying.
  • Items with the same name get their SKU added, so Square doesn’t merge them.
  • After the sale, import Square’s Items Detail and Transactions reports to match each sale back to inventory.
  • Processing fees are split across items, ready for your client settlement.

Step by step

  1. 01

    Export from EstateFlow

Open the estate, click Export inventory, and choose Square. Export the whole estate or just certain rooms.

  2. 02

    Import into Square

In your Square Dashboard, go to Items, open the Item library, and import the file. Items come in with name, SKU, price and category.

  3. 03

    Ring up at the sale

No scanner hardware needed. Download the free Square app, turn on its camera barcode scanner, and scan your EstateFlow tags at checkout. For anything you didn’t catalog, use the MISC open-price item.

  4. 04

    Pull your Square reports

After the sale, download the Items Detail and Transactions reports from Square.

  5. 05

    Import sales and settle

Upload both reports to the estate in EstateFlow. Sales match to inventory by SKU, fees are split per item, and anything unmatched is flagged for review.

Why get your inventory into Square before the sale

Most estate sales run checkout on open-price keying. Someone reads the tag, types a number, and hopes it’s right. It works until the line backs up, a $40 tag gets rung in as $4, or you’re left trying to work out after the sale what actually sold.

When every item is already in Square with its own SKU and price, checkout is just a scan. The price comes from your catalog, not from whoever is on the register. And every sale carries the SKU, so it can be matched back to the exact item in EstateFlow.

No hardware required

You don’t need a barcode scanner or a dedicated register. Download the free Square app on your phone, turn on the camera barcode scanner, and scan the tags you printed from EstateFlow. Add a second phone for a second checkout line.

What’s in the export

EstateFlow builds the file in the format Square’s item import expects. Each item gets:

  • Name, SKU, price and category
  • Stock for each location you choose

Estates are full of repeats like “Dinner Plate” or “Picture Frame”. Square merges items that share a name, so EstateFlow adds the SKU to any duplicate names to keep them separate.

The file also includes a MISC open-price item. Use it for anything you didn’t catalog, like the box of loose hardware someone wants for $5, and your catalog stays clean.

After the sale: import sales back

When the doors close, download two reports from your Square Dashboard: Items Detail and Transactions. Drop both into the estate in EstateFlow.

  • Each sale line is matched to inventory by SKU first, then by title.
  • Anything that doesn’t match is flagged for review instead of guessed.
  • Discounts are tracked, and Square’s processing fees are split across the items in each sale.
  • The location and device for each sale come along too, so multiple registers stay sorted.

From there, settlement uses what actually sold: commission, fees and the client payout. It doesn’t depend on tags or memory.

Good to know

  • The catalog file doesn’t include photos. Square doesn’t need them to ring up a sale.
  • This is a file you export and import. No Square account connection is needed.
  • Sales import and settlement are included with Pro and during the free trial.

Run the sale. Finish the estate.

One catalog. Every channel. Settlement when the sale is over.
